Job Description:

  • Provide full spectrum of secretarial support to the Management
  • Responsible for downloading of circulars from the Group and MAS and ensure proper dissemination to the respective departments as per HOD/General Manager’s instruction
  • Ensure weekly/monthly/adhoc reports requested by Group are submitted by deadlines
  • Update the Management members’ weekly and monthly schedule
  • Coordinate and schedule appointments and meetings for the Management;
  • Ensure meeting documents are given in advance to the Management and attendees as per meeting guidelines and meeting venues are properly set up
  • Take minutes of the Management meetings and follow up on the progress of the meeting action items
  • Preparation of memos, reports and analysis etc as and when required
  • Handle travel arrangement including flight arrangements, hotel accommodations and visa applications etc for the Management members and staff
  • Properly maintain the personnel records of the Management
  • Properly maintain the documents such as memos, agreements signed with external parties and the notices/circulars from Group/MAS/LIA/GIA etc
  • Stand in for the receptionist when she is away on leave
  • Provide support to the Company’s annual functions/events.
  • Perform any other jobs as assigned by the Management / HOD

 

Job Requirements:

  • Degree holder in any discipline
  • At least 2 years of experience as secretary/Personal Assistant to Senior Management
  • Bilingual in English and Chinese (written and verbal) in order to liaise with English and Chinese speaking associates
  • Discretion and trustworthiness in handling sensitive and confidential information
  • Strong organisational and time management skills, with the ability to perform and prioritise multiple tasks efficiently
  • Meticulous and self-motivated with initiative
  • A good team player with good communication and interpersonal skills
  • Proficient in MS Office
